A leading private organisation seeks an Executive Secretary to support a High-Net-Worth Individual (HNWI) with business and personal matters, ensuring discretion and seamless operations.

Key responsibilities:

As Executive Secretary, you will manage schedules, travel, confidential communications, research, and meetings while supporting business and personal matters with discretion and professionalism.

  • Provide comprehensive Executive Secretary support to the principal across business and selected personal matters
  • Manage complex calendars, travel arrangements, meetings, and schedules with discretion, accuracy, and efficiency
  • Handle confidential correspondence and documentation, while acting as a gatekeeper for calls, requests, and sensitive information
  • Conduct market research and competitor analysis, and prepare briefing notes, reports, presentations, and meeting summaries to support decision-making
  • Liaise with external stakeholders and accompany the principal to meetings, ensuring coordination, note-taking, follow-ups, and support for ad hoc projects

Candidate profile:

To excel in this role, you bring senior EA experience, strong discretion, organisation and research skills, and multilingual fluency.

  • 8–12 years’ experience as an Executive Secretary/Personal Assistant supporting founders, VIPs, or HNW individuals
  • Strong exposure to market research, competitor analysis, or business intelligence; experience in family office, investment, real estate, conglomerate, or professional services is an advantage
  • Professional, presentable, and well-spoken, comfortable attending client meetings when required
  • High level of confidentiality, integrity, and strong organisational, analytical, and multitasking skills
  • Fluent in English and Cantonese (Mandarin a strong advantage), proficient in MS Office, and proactive, detail-oriented, and flexible
