Events Executive (Shatin, 26-28k, 1-year Contract)

About the role:
We are looking for a proactive and detailed-oriented Events Executive. In this role, you will play a pivotal part in planning, coordinating, and executing a variety of impactful events. The ideal candidate will bring strong project management skills, a creative mindset, and the ability to perform well under pressure.
Key responsibilities:
- Plan and coordinate event logistics, including venue selection, catering arrangements, audiovisual setup, transportation, and vendor management to ensure seamless execution
- Serve as the primary on-site point of contact during events, managing set-up, staff coordination, guest registration, and promptly resolving any issues to guarantee smooth operations
- Liaise with clients, stakeholders, and guests to confirm requirements, address concerns, and ensure expectations are met throughout the event lifecycle
- Prepare and maintain comprehensive event documentation, including budgets, tendering documents (aligned with the organisation’s procurement policy), schedules, and post-event analysis reports to track performance and outcomes
- Oversee attendee registration processes to ensure a seamless experience for participants
- Support promotional efforts by creating engaging social media content, visuals, and marketing materials to drive participation and engagement
- Participate in ad hoc duties as assigned
Candidate profile:
- Bachelor’s degree with a minimum of 2 years’ experience in project management and/or event organisation. Experience in creating marketing materials (e.g., social media posts, visuals, and promotional materials) is also desirable
- Excellent communication, problem-solving, and interpersonal skills
- Ability to manage multiple projects simultaneously, meet tight deadlines, and perform well under pressure
- Proactive, self-motivated and detail-oriented with a strong sense of responsibility
- Strong proficiency in written and spoken English and Chinese (Cantonese; traditional and simplified Chinese). Fluency in Putonghua is required
- Immediate availability is preferred
