This pivotal role offers you the chance to shape and oversee the seamless operation of office facilities in Hong Kong, with opportunity to overlook APAC region, working closely with senior leadership and cross-functional teams.

What you'll do:

As Vice President of Administration, you will play an instrumental role in ensuring that every aspect of office life runs smoothly in Hong Kong

  • Oversee daily office operations and provide expert guidance on all aspects of facilities management
  • Actively participate in office build-outs and relocation projects, coordinating with internal teams and external vendors to deliver successful outcomes.
  • Monitor project progress by preparing detailed reports for senior leadership and maintaining accurate cost trackers for all ongoing initiatives.
  • Ensure all offices comply with statutory requirements such as building codes, fire safety regulations, health protocols, and hygiene standards.
  • Support local office managers by offering technical advice on maintenance issues, minor modifications, repairs, and mechanical or electrical works.
  • Lead procurement activities for office supplies, furniture, food provisions, and other essentials required for smooth daily operations in Hong Kong.
  • Assist in preparing annual operating budgets, capital expenditure plans, quarterly forecasts, and long-term financial strategies for facilities management.
  • Review invoices and expense claims promptly to guarantee timely payments for both recurring services and one-off purchases.

What you bring:

  • A minimum of five years’ experience in facilities management or project management within a corporate setting is essential for success in this role.
  • Exceptional organisational skills paired with flexibility enable you to manage multiple priorities without compromising attention to detail or accuracy.
  • A collaborative approach ensures you work effectively within teams while also supporting colleagues across different functions and locations.
  • Proactive problem-solving abilities allow you to anticipate challenges and take initiative when improvements are needed.
  • Excellent written and verbal communication skills empower you to interact confidently with stakeholders at all levels of the organisation.
  • Fluency in English as well as Cantonese and Mandarin is necessary to facilitate clear communication across regional offices.
  • A willingness to go above and beyond expectations demonstrates your commitment to delivering high-quality results consistently.
