Office Manager and Personal Assistant
They are currently seeking a highly organised, proactive, and professional Office Manager and Personal Assistant to support the Managing Director and ensure the smooth operation of their office in Hong Kong. This dual-role position offers an exciting opportunity for a dynamic individual who can manage a wide range of administrative and executive support tasks, while also overseeing office operations.
What you'll do:
As an Office Manager and Personal Assistant, your role will be pivotal in ensuring the smooth operation of our client's Hong Kong office. You will be responsible for creating a professional and welcoming environment for all clients, visitors, and colleagues.
- Ensure a well-organised and professional office environment that is welcoming to clients, visitors, and colleagues
- Act as the main liaison between the Workplace team in London and the Hong Kong office staff
- Manage all general and administrative queries
- Liaise with building management in response to maintenance issues, security, cleaning, and queries
- Manage contract and price negotiations with office services related vendors and service providers
- Ensure that all items are invoiced and paid on time
- Organise office events and team-building activities
- Provide high-level administrative support to the Managing Director, including managing calendars, scheduling meetings, and coordinating travel arrangements
What you bring:
The ideal candidate for this Office Manager and Personal Assistant role brings proven experience in managing a workplace, supporting a team, and providing personal assistance. Your language skills will be key as fluency in English, Cantonese, and Mandarin is required.
- Proven experience in managing a workplace, supporting a team and providing personal assistance
- Fluency in English, Cantonese and Mandarin
- Proficiency in Microsoft Word, Excel, PowerPoint
- Ability to learn other systems quickly – Salesforce, Diligent, Oracle, Star
- Some Health & Safety experience and First Aid Certificate is desirable though not essential
