Assistant Manager, Administration
A leading foreign investment bank, is looking for an Assistant Manager, Administration to assist with their expansion.
Key responsibilities:
As an Assistant Manager, you will manage supports daily office administration, manages processes and services, and assists in implementing policies to ensure an efficient and well-organised work environment.
- Operational Excellence: Lead daily office operations, overseeing facilities, logistics, front desk services, and supply chain management to ensure a seamless workplace experience
- Vendor Strategy: Drive vendor lifecycle management, from contract negotiation and performance monitoring to renewals and conflict resolution
- Governance & Compliance: Maintain robust administrative policies and internal controls. Lead audit preparation and ensure 100% adherence to regulatory standards
- Resilience Planning: Own the Business Continuity Plan (BCP) documentation, ensuring the office is primed for rapid response during emergencies or disruptions
- Travel & Projects: Optimise travel agreements for cost-efficiency and lead high-impact projects, including office renovations, relocations, and corporate events
Candidate profile:
To excel in this role, you bring experience in office administration, strong skills in facilities, vendor and compliance support, bilingual communication, Microsoft Office proficiency, and a reliable, detail-oriented approach.
- Education: Degree in Business Administration or a related discipline
- Experience: 5+ years in Office Management or General Affairs, ideally within an MNC or the Financial Services sector
- Communication: Exceptional command of English and Chinese (written and spoken)
- Technical Savvy: Expert proficiency in MS Office and a knack for process improvement
