A financial institution in Hong Kong seeks a discreet and highly organised Office Manager / Executive Assistant to support the Principal and oversee office operations.

Key responsibilities:

As an Office Manager / Executive Assistant, you will support the Principal and manage schedules, travel, expenses, vendors, and office operations.

Personal Assistant to the Principal

  • Provide high-level administrative and personal support to the Principal
  • Manage complex calendars, global schedules, travel, and logistics
  • Handle confidential communications, expenses, and personal requests
  • Liaise with household staff, vendors, and manage private engagements
  • Anticipate needs and proactively resolve issues with discretion

Office Management

  • Oversee daily family office operations for efficiency and smooth workflow
  • Manage office administration, supplies, vendors, and meeting coordination
  • Support basic finance tasks including invoicing, expenses, and budgets
  • Maintain secure filing systems and ensure confidentiality of records
  • Assist with HR coordination and compliance with internal procedures

Candidate profile:

To excel in this role, you bring experience supporting senior executives, strong organisation and communication skills, discretion, and expertise in global scheduling and travel management.

  • Proven experience in high-level executive support within a private family office or confidential environment
  • Strong organisational skills with ability to multitask accurately under pressure
  • Excellent written and verbal English communication for stakeholder liaison
  • High discretion in handling sensitive personal and business information
  • Expertise in global calendar management, travel coordination, and advanced IT tools (MS Office, digital filing systems)
