An organisation in Hong Kong seeks an experienced Executive Assistant to support a Principal with high-level coordination, scheduling, and confidential matters in a fast-paced environment.

Key responsibilities:

As an Executive Assistant, you will support a Principal through scheduling, travel coordination, confidential administration, and office operations.

Personal Assistant to Principal

  • Manage calendars, meetings, and business/personal travel arrangements
  • Coordinate international itineraries, visas, accommodations, and transport
  • Act as liaison between the Principal and internal/external stakeholders
  • Handle confidential correspondence, personal matters, and lifestyle coordination
  • Prepare meeting materials, agendas, and follow-ups

Office Management

  • Oversee daily office operations, facilities, vendors, and supplies
  • Track office budgets, expenses, and administrative processes
  • Support onboarding, office policies, and document management
  • Coordinate meetings, team events, and company functions

Administrative & Operational Support

  • Assist with expense reports, invoice tracking, and finance coordination
  • Liaise with external advisors including legal and tax teams
  • Support ad hoc projects, research, and reporting

Candidate profile:

To excel in this role, you bring Executive Assistant experience, strong organisational and communication skills, discretion, and the ability to manage multiple priorities effectively.

  • Bachelor’s degree or equivalent experience
  • 8+ years’ experience in Executive/Personal Assistant or Office Management roles
  • Proven ability to handle confidential information with discretion
  • Strong organisational, multitasking, and communication skills
  • Proficient in Microsoft Office (Outlook, Excel, Word, PowerPoint) and managing complex schedules/travel
