Executive Assistant
An organisation in Hong Kong seeks an experienced Executive Assistant to support a Principal with high-level coordination, scheduling, and confidential matters in a fast-paced environment.
Key responsibilities:
As an Executive Assistant, you will support a Principal through scheduling, travel coordination, confidential administration, and office operations.
Personal Assistant to Principal
- Manage calendars, meetings, and business/personal travel arrangements
- Coordinate international itineraries, visas, accommodations, and transport
- Act as liaison between the Principal and internal/external stakeholders
- Handle confidential correspondence, personal matters, and lifestyle coordination
- Prepare meeting materials, agendas, and follow-ups
Office Management
- Oversee daily office operations, facilities, vendors, and supplies
- Track office budgets, expenses, and administrative processes
- Support onboarding, office policies, and document management
- Coordinate meetings, team events, and company functions
Administrative & Operational Support
- Assist with expense reports, invoice tracking, and finance coordination
- Liaise with external advisors including legal and tax teams
- Support ad hoc projects, research, and reporting
Candidate profile:
To excel in this role, you bring Executive Assistant experience, strong organisational and communication skills, discretion, and the ability to manage multiple priorities effectively.
- Bachelor’s degree or equivalent experience
- 8+ years’ experience in Executive/Personal Assistant or Office Management roles
- Proven ability to handle confidential information with discretion
- Strong organisational, multitasking, and communication skills
- Proficient in Microsoft Office (Outlook, Excel, Word, PowerPoint) and managing complex schedules/travel
