Assistant Manager, Facilities Management & Office admin
My client is a sizable corporate in financial sector. They are currently looking for an AM for workplace facility management and office administration.
Job description:
- Oversee daily facility operations, including toilets, maintenance, repairs, and restorations; and the restocking of office supplies, such as air conditioners, printers, DTEN, CODECO, pantry/kitchen equipment, and more.
- Oversee contracts and vendor agreements for services connected to facilities management. Assess the vendors' after-service performance.
- Organize office check, office renovations, office move and develop and implement preventative maintenance programs, and conduct regular office check following laws and market best practices
- Ensure compliance with health, safety, and environmental law and regulations. Conduct regular checking of facilities, and set up guidelines.
- Act as the Health and Safety leader for the Regional Offices . Work with the vendor to arrange for a first-aider and office cleanliness and hygiene check.
- Coordinate space planning and allocation for all staff
- Arrange the office buildings' landscaping, interior design, and styling to complement the corporate culture.
- Being the first contact point in respond to emergencies and implement business continuity plans when necessary
- Oversee security systems and procedures
- Operational Incident logging, root cause analysis, actions plan documentation and incident status tracking
- Business expenses approval and budget planning for general admin
- Prepare administration and facilities management related communications to internal staff
Requirements:
- University graduate preferred, degree in Facilities/Business Management an advantage
- More than 5 years' working experience in facilities and office administrator
- Strong project Management skills
- Strong sense of ownership, detail-minded and well-organized
- Excellent verbal and written communication skills
- Excellent people management and vendor management skill
