IT Administration Assistant – IT Infra Team (Contract)

Our client is a regional well-known organization. We are looking for an IT Administration Assistant provides administrative and operational support to the IT Infrastructure Department to ensure efficient daily operations. This role is responsible for managing departmental documentation, coordinating meetings, supporting procurement activities, maintaining IT asset records, and liaising with internal stakeholders and external vendors.

Key Responsibilities

  • Provide administrative and clerical support to the IT Department.
  • Coordinate meetings, prepare agendas, and maintain meeting minutes.
  • Maintain and organize IT department records, reports, and documentation.
  • Assist in IT procurement processes, including purchase requisitions, orders, and invoice tracking.
  • Maintain and update IT asset inventory and software license records.
  • Coordinate with vendors on quotations, deliveries, maintenance, and service requests.
  • Assist with departmental projects and other administrative duties as assigned.

Qualifications

  • Diploma or Bachelor’s degree in Business Administration, Information Technology, or a related discipline.
  • 1–3 years of administrative experience, preferably in an IT or technical environment.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, and Teams).
  • Experience in procurement, inventory management, or vendor coordination is an advantage.
  • Strong organizational, multitasking, and time-management skills.
  • Excellent communication and interpersonal skills.
  • Strong attention to detail and ability to maintain confidentiality.
  • Good command of written and spoken English and Chinese.
