Executive Assistant, Secretary, up to 70k

We are seeking an experienced and highly organized Executive Assistants to support the Managing Director and oversee the day-to-day operations of a dynamic and fast-paced office environment.

Key Responsibilities

  • Provide comprehensive and proactive executive support, including complex calendar management, meeting coordination, travel arrangements, and expense administration.
  • Act as a gatekeeper and strategic business partner, helping to manage and prioritize competing demands
  • Coordinate internal and external meetings, including agenda preparation, logistics, meeting materials, and follow-up actions
  • Prepare high-quality presentations, reports, business correspondence, briefing notes, and other management materials
  • Screen and manage incoming communications, ensuring urgent matters are appropriately escalated.
  • Assist with special projects, business initiatives, and ad hoc assignments as directed by the Managing Director.
  • Oversee the day-to-day office operations and ensure a professional, efficient, and well-organized workplace environment
  • Manage office budgets, procurement activities, vendor relationships, workplace services, and facilities maintenance
  • Drive employee engagement initiatives and help foster a positive workplace culture

Requirements

  • 8-15 years' experience in a family office, private banking, investment management, financial services, or related environment
  • Proven experience supporting C-suite executives or senior leadership teams
  • High level of integrity, professionalism, and discretion
  • Exceptional organisational skills with strong attention to detail
  • Fluent English is essential; Cantonese and/or Mandarin is advantageous
