Executive Assistant
This role is designed for individuals who are eager to immerse themselves in the world of investment management, with years of experience as an executive assistant to support C-suites. You will work directly with C-suite executives, supporting their productivity and contributing to the seamless operation of the business.
What you'll do:
- Manage and maintain complex calendars for C-suite executives, including scheduling meetings, appointments, and coordinating travel arrangements to ensure optimal use of their time.
- Arrange and coordinate internal and external meetings by sending invitations, booking meeting rooms, preparing necessary materials, and ensuring all logistics run smoothly.
- Represent the organisation professionally in all correspondence with stakeholders such as investors, business partners, and service providers across multiple regions.
- Assist in preparing board reports and management meeting minutes covering diverse areas like investment, risk, compliance, marketing, and operations while participating in key meetings.
- Support planning, coordination, and tracking of projects and initiatives by collaborating with various stakeholders to ensure deadlines are consistently met.
- Provide comprehensive administrative support to the marketing team by preparing notes for investor meetings and maintaining organised files and records.
- Assist with the production and distribution of marketing materials including investment newsletters and factsheets to keep clients informed.
- Contribute to the smooth running of day-to-day office operations by handling ad hoc tasks as required by executives or teams.
- Maintain strict confidentiality regarding sensitive information while demonstrating discretion in all aspects of your work.
- Foster positive relationships within the team by supporting colleagues and promoting a harmonious working environment.
What you bring:
- Bachelor’s degree or above is preferred for consideration for this role within a leading financial services environment.
- A minimum of 3-5 years’ relevant experience as an executive assistant—ideally within investment management or adjacent sectors—is highly valued; however exceptionally talented recent graduates are also encouraged to apply if they demonstrate strong potential.
- Proficiency with Microsoft Outlook products is essential for managing communications and schedules efficiently.
- Exceptional fluency in spoken and written English is mandatory given the international nature of stakeholder interactions.
- Excellent communication skills—both verbal and written—are needed to represent the organisation professionally at all times.
- Meticulous attention to detail ensures accuracy when handling sensitive documents or preparing reports for senior leadership.
