* Play a key role in supporting the IT division’s governance structure by managing committee meetings, preparing agendas, and ensuring timely communication with all stakeholders.

Responsibilities :

  • Plan, organise, and manage committee meetings and governance boards within the IT division by coordinating with members to ensure seamless scheduling, agenda preparation, and clear communication regarding meeting dates and venues.
  • Draft, update, and distribute meeting agendas, minutes, action logs, and progress reports while ensuring timely follow-up with responsible parties on outstanding actions and milestones.
  • Prepare high-quality written committee papers related to IT topics in accordance with organisational guidelines, tailoring content for different audiences while managing multiple documents simultaneously.
  • Safeguard the interests of the organisation by handling confidential information responsibly, demonstrating unwavering integrity, complying with internal policies, understanding governance frameworks, and actively contributing to a diverse workplace culture.
  • Demonstrate professionalism through consistent adherence to established guidelines while supporting cross-functional teams and promoting collaborative behaviours throughout the IT organisation.
  • Track project milestones effectively by maintaining accurate records of decisions made during meetings and ensuring all relevant documentation is up-to-date for audit purposes.
  • Facilitate clear communication between various workstreams by acting as a central point of contact for committee-related queries and document requests.
  • Support senior management in preparing concise reports that accurately reflect discussions held during governance board meetings.
  • Assist in developing best practices for committee operations within the IT division by identifying areas for process improvement and implementing agreed changes.
  • Promote an inclusive team environment by encouraging open dialogue among colleagues from diverse backgrounds.

Requirements

  • A Bachelor’s degree in Arts (majoring in English), Business Administration, Communication, Journalism, Law or Information Technology or a closely related discipline is required for this position.
  • At least eight years’ experience in a company secretarial capacity within a sizeable organisation demonstrates your capability to thrive in complex environments.
  • A proven track record managing committee meetings or governance boards—including agenda setting and minute-taking—shows your reliability in high-stakes settings.
  • Exceptional English writing skills alongside excellent listening and speaking abilities enable you to communicate clearly with diverse audiences at all levels.
  • A high level of integrity combined with strong work ethics ensures you handle confidential information with utmost professionalism at all times.
  • Your ability to work dependably both independently and as part of a team allows you to meet tight deadlines without compromising quality or accuracy.
  • Strong management skills empower you to coordinate multiple tasks efficiently while maintaining attention to detail under pressure.
  • Experience drafting concise yet informative reports tailored for specific audiences highlights your analytical thinking and adaptability.
  • Familiarity with IT terminology or concepts is preferred as it enables smoother integration into technology-focused discussions within the division.
  • Project management experience is considered advantageous as it supports your ability to oversee complex initiatives from inception through completion.
