Office Manager (Operations and Import/Re-export)

You will play a pivotal part in aligning local operations with international headquarters, collaborating closely with teams in China and headquarter.

Job Rescriptions:

  • Take charge of all aspects of office operations in Hong Kong, including administration, logistics, finance, and technology, ensuring efficiency and regulatory compliance at every step.
  • Collaborate with global teams and external partners to streamline processes, implement new systems, and support the expansion of business activities across Asia.
  • Oversee daily office operations and administration activities to ensure smooth functioning of all business processes within the Hong Kong office.
  • Streamline administrative procedures by establishing standard operating procedures that enhance efficiency across office management, logistics, and operational workflows.
  • Support the ongoing operations of the China office while preparing for future expansion into other Asian markets through effective cross-border coordination.
  • Manage key processes such as payments, invoicing, reporting, document management, and technology implementation to maintain high standards of accuracy and compliance.
  • Build and nurture a small but dedicated team in Hong Kong by providing guidance, training opportunities, and ongoing support for professional development.
  • Ensure full regulatory compliance with local laws as well as alignment with international headquarters’ policies and practices.
  • Coordinate effectively with suppliers, external agents, clients, and internal stakeholders to foster strong relationships that benefit overall business objectives.
  • Monitor financial transactions related to food import/export activities by processing accounting documents accurately and efficiently.
  • Drive continuous improvement initiatives by identifying areas for process optimisation within both administrative and logistical function.
  • Occasionally travel to China or other parts of Asia as required to support regional operations and strengthen inter-office collaboration.

Requirements:

  • University degree in a business-related discipline that demonstrates your foundation knowledge of commercial operations.
  • At least five years’ proven experience managing office operations within the food import/export sector or a similar regulated industry. Handling of fresh food experience will be a plus.
  • Comprehensive understanding of accounting principles as well as hands-on experience processing invoices and logistics documents for international trade.
  • Demonstrated ability to build rapport with cross-functional teams—including suppliers, external agents, clients—and coordinate complex projects across borders.
  • Experience leading small teams by providing mentorship, training opportunities, clear communication channels, and ongoing support for professional growth.
  • Strong organisational skills combined with meticulous attention to detail when handling sensitive documentation or regulatory requirements.
  • Excellent interpersonal abilities that enable you to collaborate effectively within multicultural environments while upholding company values of respect and inclusivity.
  • Proficiency in implementing new technologies or systems designed to improve operational efficiency within an office setting.
  • Willingness to travel occasionally throughout Asia as needed for business purposes or inter-office collaboration.
  • Ability to speak and write in Mandarin, Cantonese and English
