Project & Process Specialist (Air Freight, 30k)

Seeking a Project & Process Specialist with 2+ years of Freight Forwarding experience to optimize project workflows and performance. In this role, you will define project guidelines, track business KPIs, build WBS, and proactively manage risks. As the primary liaison to Regional HQ, you will drive progress reviews, conduct team workshops, and translate operational needs into actionable solutions. Strong English communication, MS Office proficiency, and immediate availability preferred.

Responsibilities:

• Process & Guidelines Management: Define, draft, monitor, and announce guidelines for Task and Project Management processes across relevant teams.

• KPI & Performance Reporting: Monitor Key Performance Indicators (KPIs) within the International Freight Forwarding business, prepare detailed reports, and share insights with stakeholders according to pre-defined schedules.

• Project Execution & Risk Management: Draft and support task team leaders with Work Breakdown Structures (WBS), review progress, and formulate effective solutions for delays or risks.

• Regional & Stakeholder Liaison: Share update statuses on ongoing tasks/projects with relevant parties and act as the primary liaison with Regional HQ (RHQ) on project queries and operational issues.

• Stakeholder Support & Training: Prepare meeting agendas and materials, facilitate regular progress reviews, and organize workshops and training sessions to ensure process understanding and adoption.

• IT Alignment & System Integration: Serve as a bridge between business units and IT teams to specify system requirements, coordinate user testing (UAT), and support the adoption of digital tools or freight management systems.

• Data & Digital Workflow Optimization: Partner with IT specialists to optimize data flows, automate operational reporting, and streamline digital task-tracking workflows.

Requirements:

• Degree holder in Logistics, Supply Chain, Business Administration, Information Technology, or related disciplines.

• At least 2 years of relevant working experience in the Freight Forwarding industry.

• Solid understanding of basic project management methodology and business process improvement.

• Proficiency in MS Office Applications (Word, Excel, PowerPoint, Project); familiarity with freight management systems, enterprise platforms, or digital process tools is a plus.

• Basic understanding of IT lifecycle processes, software deployment, or technical requirement gathering.

• Proven skills in assessing project progress, risks, and issues, with strong problem-solving capabilities.

• Excellent business writing skills in English.

• Effective communication skills to understand business challenges and translate operational needs into technical/IT requirements.

• Proactive, well-organized, result-oriented team player with a detail-oriented mindset.

• Immediately available preferred.
