They are seeking an experienced Executive Assistant to Chairman to provide comprehensive support within the Chairman's Office.
Position Overview
This is a highly visible role supporting a senior foreign executive. The successful candidate will serve as a trusted partner to the Chairman, taking ownership of both professional and personal matters while ensuring the smooth planning and execution of high-profile corporate and social events.
The role goes beyond traditional executive support and requires a strong background in end-to-end event management, stakeholder coordination, and exceptional attention to detail. The ideal candidate will be comfortable operating in a fast-paced environment with exposure to senior executives, board members, and external stakeholders.
Key Responsibilities
Executive & Personal Support
- Manage and coordinate the Chairman's calendar, appointments, and commitments.
- Handle complex local and international travel arrangements, including detailed itineraries and logistics.
- Provide support on personal matters, family-related arrangements, and ad hoc requests with discretion and professionalism.
- Serve as a key liaison between the Chairman and internal/external stakeholders.
- Screen, prioritize, and coordinate communications, invitations, and requests.
Event Planning & Coordination
- Lead the planning and execution of corporate events, board-related functions, executive gatherings, and social engagements.
- Coordinate end-to-end event logistics, including venue sourcing, vendor management, guest invitations, budget monitoring, and on-site execution.
- Organize formal and informal events ranging from board meetings and leadership dinners to networking functions and private gatherings.
- Ensure seamless event delivery while maintaining the highest level of professionalism and attention to detail.
- Collaborate with internal departments and external service providers to deliver exceptional event experiences.
Administrative & Business Support
- Prepare meeting materials, presentations, correspondence, and briefing documents.
- Coordinate board-related schedules, meeting logistics, and follow-up actions.
- Manage expenses, invoices, and related administrative processes.
- Maintain strict confidentiality when handling sensitive business and personal information.
Requirements
- Bachelor's degree or above.
- Minimum 10-15 years of Executive Assistant, Chairman/CEO Office, or senior executive support experience.
- Proven experience managing end-to-end event planning and execution for a sizeable multinational organization or large corporate environment.
- Demonstrated experience organizing both large-scale corporate events and smaller executive-level functions.
- Previous experience supporting C-suite executives, Chairmen, board members, or senior leadership teams is highly preferred.
- Strong stakeholder management skills with the ability to interact confidently with senior executives and external partners.
- Excellent organizational, multitasking, and problem-solving abilities.
- Mature, proactive, and highly discreet with a strong sense of ownership.
- Outstanding written and spoken English is essential; proficiency in Chinese is advantageous.
- Proficient in Microsoft Office applications.
