With a lean and highly collaborative Hong Kong office, they are seeking a proactive and detail-minded Administration Executive to support daily office operations and provide executive assistance to the senior leader.

Administration Executive / Office Administrator

Location: Central, Hong Kong
Salary: HKD 22,000 – 25,000 per month
Industry: MNC Property Development Firm (European Headquarters)
Reporting to: Managing Director / Regional Head

Company Overview

Our client is a well-established multinational property development firm with headquarters in Europe. With a lean and highly collaborative Hong Kong office, they are seeking a proactive and detail-minded Administration Executive to support daily office operations and provide executive assistance to the senior leader.

This is a newly created position and an excellent opportunity for an experienced administrator who enjoys working in a small-scale, international environment.


Key Responsibilities

Office Administration (70%)

  • Manage daily office operations and ensure a professional, efficient, and well-maintained working environment.
  • Coordinate office supplies procurement, vendor management, maintenance, and facility-related matters.
  • Handle courier services, mail distribution, filing, document management, and administrative records.
  • Liaise with external service providers, building management, and business partners.
  • Coordinate company events, meetings, and logistics arrangements.
  • Assist in preparing internal documents, reports, and presentation materials.
  • Support HR and operational administration when required.

Executive & Personal Support (30%)

  • Provide dedicated administrative and personal support to the Managing Director.
  • Manage calendar scheduling, meeting arrangements, and travel coordination.
  • Organize flight bookings, hotel reservations, transportation, visa applications, and travel itineraries.
  • Handle expense claims and petty cash administration.
  • Assist with personal errands and ad hoc matters as assigned.

Accounting & Finance Support

  • Maintain petty cash records and reimbursement documentation.
  • Support basic accounting data entry and invoice processing.
  • Coordinate with external accounting service providers on routine financial documentation and records.

Requirements

  • Diploma or above in Business Administration, Office Management, Accounting, or related disciplines.
  • Minimum 3-5 years of office administration, executive assistant, or personal assistant experience.
  • Previous experience working in a small-sized office, multinational corporation, or professional services environment is highly preferred.
  • Excellent command of spoken and written English is essential, with confidence communicating directly with expatriate management.
  • Good command of Cantonese and Mandarin is an advantage.
  • Proficient in Microsoft Office applications, including Outlook, Excel, Word, and PowerPoint.
  • Experience handling travel arrangements, petty cash, and basic accounting entries.
  • Well-organized, mature, proactive, and able to work independently with minimal supervision.
  • Strong sense of responsibility, discretion, and attention to detail.
