What you'll do:
As an IT Administrative Assistant based in Hong Kong, you will be at the heart of daily technology operations—ensuring that every process from user onboarding to inventory management runs seamlessly. Your attention to detail will be crucial as you maintain accurate records of assets using advanced management systems while also supporting procurement activities for both hardware and software needs. * Coordinate efficient onboarding and offboarding processes for employees by preparing, distributing, and recovering IT equipment in close collaboration with HR and departmental teams.
* Maintain comprehensive records of all IT assets including hardware, software licences, and accessories using asset management systems to ensure accuracy and compliance.
* Conduct regular audits of inventory to identify discrepancies, maintain up-to-date records, and support compliance with organisational standards.
* Assist department executives and staff in selecting appropriate IT equipment, accessories, and software while managing the full procurement lifecycle from request through delivery.
* Track all IT-related purchase requests to guarantee timely ordering, approval, delivery, and optimal service quality from vendors.
* Communicate effectively with vendors and suppliers to negotiate pricing, coordinate delivery schedules, and ensure high-quality service provision.
* Review, reconcile, and manage monthly mobile phone bills to ensure accuracy in billing administration and timely payment processing.
* Support budgeting activities by assisting with expense tracking and cost optimisation efforts related to IT expenditures under the guidance of the IT Service Desk Manager.
