Our client is currently seeking a highly motivated and organised Executive Assistant to support the Managing Director. The ideal candidate will have exceptional language skills, a proactive approach, and the ability to multitask in a dynamic environment. This position requires strong attention to detail and a commitment to providing outstanding administrative support.

About the Job

  • Provide comprehensive administrative support to managing director, including managing daily itineraries, company meetings, travel arrangements, and annual calendar plan.
  • Prepare meeting agendas, document actionable items, and follow up proactively to ensure completion.
  • Handle sensitive and confidential information with discretion.
  • Assist in collecting information and preparing reports
  • Coordinate with country executive assistants from other countries to create agendas for global leadership team meetings and visits from country leaders.
  • Serve as a primary point of contact between executives and global stakeholders.
  • Monitor and manage executive communications, including emails and phone calls, ensuring timely response.
  • Lead collaborations with other executive assistants on special projects as needed.
  • Perform other administrative tasks and duties as assigned.

About the Person

  • Bachelor Degree holder in Business Administration or a related field preferred.
  • Proven experience as an executive assistant serving executives in a sizeable or international company environment.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organisational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Ability to work independently and manage multiple priorities under tight deadlines.
  • High level of professionalism and a strong sense of confidentiality.
  • Familiarity with office equipment (e.g., printers, copiers, etc.) and software.
  • Fluency in English, Cantonese, and Mandarin is required.
