This role offers an exciting opportunity to support a multi-functional team. The successful candidate will have the chance to engage with both internal and external stakeholders across multiple timezones, manage travel logistics, handle invoices, and support client engagement functions.

What you'll do:

As an Administrative Assistant, your role will be multifaceted requiring excellent organisational skills and a knack for problem-solving.

  • Arrange meetings, conference calls and video-conferences across various platforms
  • Manage office visitors travelling from global locations
  • Handle travel logistics and itineraries ensuring adherence to all travel policies
  • Proactively manage team’s calendar and reminders
  • Prepare expense reimbursement through the Concur system on time
  • Handle invoices and follow up on payment logistics
  • Support client engagement function – update business contact and document activities for record keeping purposes
  • Assist in client roadshow and conference support, including logistics and external speaking engagement approval process

What you bring:

The ideal candidate for this Administrative Assistant role brings at least 3 years of experience in an admin support role. You are proficient in MS Office applications including Outlook, Teams, Word, Excel and PowerPoint.

  • At least 3 years working experience in admin support role
  • Proficiency in MS Office applications with sound skills in Outlook, Teams, Word, Excel and PowerPoint
  • Ability to quickly understand and navigate internal systems for travel, expense management, event coordination
  • Proficiency in both spoken and written English; Mandarin and/ or Cantonese is a plus
  • Good organizational skills and attention to details
  • Ability to handle multi-tasks effectively and able to work under pressure in a fast-paced environment
  • Experience in using Concur is preferred
