Personal Assistant - Financial Services

This role is perfect for someone who thrives in a fast-paced environment, possesses strong interpersonal skills, and has a keen eye for detail.

Responsibilities:

  • Provide comprehensive personal assistance and secretarial to the Chairman, including managing schedules, travel arrangements, and daily administrative tasks.
  • Act as a liaison between the Chairman and internal/external stakeholders
  • Coordinate and organise conferences, meetings and events
  • Conduct research and compile information as request
  • Manage and screen incoming calls, handle all correspondence, and maintain and update the Chairman's contact list
  • Prepare materials for meetings attended by the Chairman, and record and transcribe all board meetings for Chairman's approval
  • Prepare, edit and translate reports and presentations if required
  • Handle personal finances, including monthly bank statements and credit card reconciliation
  • Arrange private dining reservations, send invitations and confirm attendance
  • Plan and executive different projects, including gatherings and events
  • Coordinate visa applications and administration for domestic staff
  • Oversee maintenance and repairs for the Chairman's residence and vehicles
  • Maintain membership renewals for social groups and oversee driving license renewals
  • Liaise with contractors and building management for property-related issue
  • Perform ad-hoc task requested by the Chairman

Qualifications:

  • 8+ years of experience as an executive-level assistant, preferably support a C-suite executive or Chairman from a family office
  • Fluent in English, Cantonese and Mandarin
  • Ability to work independently with minimal supervision
  • Demonstrate integrity
  • Proficient in Microsoft Office suite
