They are looking for a Personal Assistant to support the Chairman.
Job Summary:
The Personal Assistant provides comprehensive administrative support and assistance to the senior executive. This role involves managing a wide range of administrative tasks, coordinating schedules, organizing travel arrangements, and handling confidential information. The Personal Assistant acts as a trusted liaison and ensures the smooth functioning of the executive's daily activities.
Responsibilities:
- Manage the executive's calendar, schedule appointments, and coordinate meetings and conferences.
- Arrange complex travel itineraries, including flights, accommodations, transportation, and visas as required.
- Screen and prioritize incoming calls, emails, and correspondence, providing timely responses or redirecting as necessary.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Conduct research and compile information to support decision-making and prepare briefing materials.
- Maintain confidentiality and handle sensitive information with discretion and professionalism.
- Assist in preparing agendas, attending meetings, and taking accurate meeting minutes.
- Coordinate and track projects, tasks, and deadlines, ensuring follow-up and completion.
- Manage and maintain electronic and physical filing systems, ensuring organization and accessibility of documents.
- Assist with personal tasks and errands, including personal appointments, reservations, and other requests.
- Act as a point of contact for internal and external stakeholders, demonstrating professionalism and excellent communication skills.
- Handle ad-hoc administrative duties as assigned by the executive, demonstrating flexibility and adaptability.
Requirements:
- Proven experience as a Personal Assistant or similar role, preferably supporting high-level executives.
- Excellent organizational and time management skills, with the ability to prioritize and multitask effectively.
- Strong attention to detail and accuracy in all work performed.
- Exceptional verbal and written communication skills, with the ability to interact with individuals at all levels.
- Proficient in using office software, including word processing, spreadsheets, and presentation tools.
- Discretion and integrity when handling confidential and sensitive information.
- Ability to work independently, exercise good judgment, and make decisions in line with established policies and guidelines.
- Strong problem-solving skills and a proactive approach to overcoming challenges.
- Professional demeanor, with the ability to maintain composure under pressure.
- Flexibility to work outside regular business hours when necessary.
